Keep your files
in one place.
Your files sit beside the work, every change piles up as a version, and you can restore any of them. A link that leaves the workspace has a password, an expiry and a record.
Files module features
From uploading to sharing, from version history to permissions, all of your documents live inside Workinno.
The folder tree
You organise your files in folders as deep as you like. You give a folder an icon and a colour, and find what you are after just by glancing. The structure is built around the way you work.
Order that builds itself
A file you upload from a task, a customer or a project lands in that record's folder. Even if the record is renamed later, the link holds. You do not have to choose a folder while uploading.
A personal folder
Every member gets a folder only they can see. You keep your drafts there without opening them to the team. Unfinished work does not sit in front of everyone.
Drag and drop
You drag a file, or a whole folder, into the browser. The folder structure is rebuilt on the other side exactly as it was. Moving a hundred files comes down to one gesture.
Large file uploads
Large files are uploaded in pieces and go straight to storage. If the connection drops, it carries on from where it stopped. An interrupted upload does not start over.
An upload that did not finish
If the tab closes or the network goes, you are told that the file did not arrive. The "I thought I had uploaded it" surprise does not happen. An incomplete upload is reported to you.
Import from a URL
If all you have is a link, let Workinno download the file. You paste the address, see what is coming first, and then take it. You get a large file without tying up your own connection.
Import from cloud storage
You connect your Google Drive, Dropbox and OneDrive account and copy your files into Workinno. The copy sits in your own storage. Your old archive gathers in one place.
Virus scanning
Uploaded files are scanned and cannot be downloaded, previewed or shared before the scan finishes; if something harmful turns up, the uploader is warned. Media files and very large files fall outside this scan. A harmful file does not spread through the team.
Real type checking
The content of a file is checked, not its extension. An executable with a changed name cannot get into the system. Renaming an extension does not get past the check.
Type and size rules
The administrator decides which file types are allowed in your workspace and the ceiling per file. A type that is not allowed cannot be uploaded. You draw the line on what may be uploaded from the start.
Version history
Every state of the same file is kept: who changed it, when and how is written beside it. Copies do not multiply; you move forward with one file. Which state is the final one is never up for debate.
Going back to an older version
You undo a change that went wrong with one click. You pin an important version, write a note on it and stop it from being deleted. A mistake does not turn into a permanent loss.
Version clean-up
Old automatic versions are pruned on their own, so storage does not swell. Versions you pinned and versions you uploaded by hand are not touched by this clean-up. The important ones are kept while the needless ones are cleared.
Preview in the browser
You open images, PDFs, video, audio, text and Office documents without downloading them. Checking whether it is the right file no longer means downloading it. You see the right file before you open it.
Office in the browser
You edit Word, Excel and presentation files in the browser. When you save, a new version of the file appears rather than a copy. You do not have to install a program to work on a document.
Open with desktop Office
If you would rather work in the program you know, you open the file with the Office on your computer. The moment you save, the version returns to Workinno. You stay on the same file without changing your habits.
Editing text and tables
You edit text, markdown, CSV and JSON files without leaving the page. A CSV also opens as a searchable table. A small correction does not mean downloading the file.
Share links
You send a file by link to someone who has no Workinno account. You add a password, set an expiry and limit how many times it opens. You send the file straight to your customer.
Limiting by email address
You open the link only to the email addresses you name. A six-digit code goes to the other side, and without the code they cannot see the file. Even if the link reaches someone else, it is useless.
Watermark and download off
You share an image or a PDF with a watermark, and if you want, turn downloading off entirely so the other side only sees it on screen. A shared file does not travel from hand to hand. Who showed the document is written across the image.
The share log
When and from where a link was opened is recorded, and failed attempts are written down too. You do not have to ask who has looked. The trail of a shared document stays on record.
Folder and file permissions
You grant a person, a team or a role permissions at four levels: view, comment, edit and manage. A permission you give on a folder reaches everything under it. Permissions are set once, on the folder.
A confidential tier
You move documents such as payslips into the confidential tier. Someone without permission cannot open them even if they uploaded the file themselves. A sensitive document does not stay open even to its uploader.
Bulk actions
You select several files and move, copy, delete or download them as one archive. If a file will not fit into the archive, you are warned beforehand. You reorganise hundreds of files in one move.
Moving by dragging
You pick a file out of the list and drop it on a folder on the left. You move it in one gesture, without opening a menu. The order of the archive changes in a few minutes.
Filters
You filter by type, date, size, uploader and colour. You save the filter you use often and open it with one click. You find the file you are after without walking through folders.
Stars and colours
You star a file you open often and it gathers into one list whatever folder it is in. You also tell files apart by colour label. The files you work with daily are always within reach.
List layout
You choose list or grid view and decide which columns appear. You rename a file with one click on its name. You set up the list around the way you look at things.
Turning a file into a record
You turn a file into a record: you give it an owner, a category, a confidentiality level and an expiry date. You filter to see records that are about to expire. A document that runs out does not slip past unnoticed.
The bin
A deleted file or folder waits in the bin and comes back with one click. You set the waiting period yourself, between one and thirty days. Deleting by mistake is not a step you cannot take back.
The storage meter
You see how much space you use, your plan's limit and how much the bin takes up, all from the left panel. Running out of quota is never a surprise. You see a space problem coming.
The Inno assistant
You ask Inno about a file: it lists the most recent uploads and searches by name. Inno only reads; it does not touch your files. You reach the file you want by typing.

Frequently asked questions
Where are my files kept?
In object storage, in the space reserved for your workspace. Every download goes through a short-lived signed link; the file's address never stays open to the outside.
How large a file can I upload?
Your plan decides: 25 MB per file on the free plan, 2 GB on the paid ones. The workspace administrator can lower that limit. Large files are uploaded in pieces, and if the connection drops it carries on from where it stopped.
How does the virus scan work?
Uploaded files are scanned and cannot be downloaded, previewed or shared until the scan finishes; if something harmful turns up, the person who uploaded it is warned. Media files such as video and audio, and files above the ceiling, pass without scanning by policy.
Can I open Word and Excel files?
Yes, you edit them in the browser and a new version appears when you save. If you prefer, you open the same file with the Office on your computer and the save still returns to Workinno.
Can I go back to an older version?
Yes. Version history is kept for every file; you restore whichever version you want and pin an important one so it cannot be deleted.
How do I share a file with a customer?
You create a link. You can add a password, set an expiry, limit how many times it opens, open it only to certain email addresses, turn downloading off and add a watermark.
Can I decide who sees which folder?
Yes. You grant permissions to a person, a team or a role at folder and file level; a folder permission reaches everything under it. Everyone also has a personal folder that nobody else can see.
Does a file I deleted by mistake come back?
It waits in the bin and is restored. You set the waiting period yourself in the workspace settings, between one and thirty days.
Let your documents sit beside the work.
Set up your workspace and open your first folder. Never hunt for a file again.
