Connect your own address
Gmail, Outlook and Microsoft 365, iCloud and any provider that supports IMAP can be connected. You do not get a new address; the one you have used for years opens inside Workinno. Your customers keep writing to the address they always used.
Wrong details are never saved
The connection is actually attempted while the account is being added. If the password or server address is wrong no record is created, so "I added it but it does not work" never happens. You know the connection works before the first mail arrives.
Your password is not left in the open
Your account details are stored encrypted with a key that belongs to your workspace. You do not have to share passwords with your colleagues. Access to a shared inbox is a matter of permission, not of passwords.
Personal inbox, shared inbox
Your own address is visible only to you. Shared inboxes such as info and support you share with the team, and you choose who enters with which permission. Your personal correspondence never mixes with the team's.
Grant access to a team
You can add a whole team to a shared inbox, not only individual people. Whoever joins the team afterwards gets the access on their own. As the team changes, the access list is not edited by hand.
Every inbox in one list
Mail from every account you can reach flows into one combined list. You see what arrived in the morning at a glance, without walking through account after account. You plan your day from a single list.
Mail lands the moment it arrives
The mail appears in your list the moment your provider announces it. Even if the connection drops somehow, a check every five minutes closes the gap. A waiting customer is not left without an answer for hours.
Your folders come across as they are
The folder structure at your provider appears exactly as it is. When you create a folder or move a mail in Workinno, the change is written back to the provider too. The structure stays the same on both sides.
Hundreds of mails in one move
Mark as read, star, archive, throw away or move to a folder; one at a time, or for the hundreds of mails you selected at once. The result reaches your provider as well. You clear a piled-up inbox quickly.
Search does what you say
You search by sender, recipient and subject; you filter to unread, starred or those with an attachment. A date range can be added too. You find a months-old exchange within minutes.
Reply and forward
You reply, reply to all or forward. The whole exchange sits in one thread; who wrote what and when is visible in order. The history of the conversation is in front of you as you write the answer.
The draft saves itself
While you write, the draft is saved every few seconds and lands in your provider's drafts folder as well. Even if you close the tab, what you wrote is not lost. You pick up an unfinished message on another device.
A ten-second undo
After you press send you can change your mind for ten seconds. Cancel within that time and the mail never reaches the other side. A hasty send does not turn into a permanent mistake.
Your file is ready as an attachment
You upload from your computer or pick from your files in Workinno. The total attachment size goes up to twenty-five megabytes and is scanned before sending. The document is attached without leaving Workinno.
The signature follows the sender
You keep several signatures per account and mark one as the default. When the sending address changes, the signature changes with it. No mail goes out with the wrong signature.
Remote images wait for your permission
External images in a mail are not loaded unless you ask for them, and the body is cleaned before it is shown. Opening a mail sends no signal to the sender. Opening a mail is not a trackable trace.
A sender who is your customer is recognised
If the address of an incoming mail matches your customer record, the conversation links itself to that person and their company. You do not try to remember who wrote it. The exchange lands on the right customer's card by itself.
Correspondence history on the customer card
The customer card has a Mails tab, and every exchange with that company to date sits there. Before a meeting you look in one place. You walk into the conversation knowing where things were left.
Write to a customer with one click
You click the email address in the customer list or on a member card, and the compose window opens with the recipient already filled in. You do not copy and paste addresses. Writing to the wrong address stops being possible.
Every conversation gets an owner
You assign each conversation in a shared inbox to someone; it moves through unassigned, assigned, answered and closed. Who will handle it is not up for debate. Two people never write separate answers to the same customer.
An internal note never reaches the customer
You leave a note for a colleague under the conversation and catch their attention by naming them. The customer never sees that note. The team's own conversation stays inside the exchange.
Let rules watch the inbox for you
You set up rules that look at the sender, the subject or whether there is an attachment. Rules run in order, and which rule touched a mail is shown on it. The inbox organises itself.
A rule opens a task too
A rule does more than file: it links the mail to a customer, opens a task in the project you chose and assigns it to a colleague. An incoming request turns into work by itself. Nothing is left to be carried by hand between a request and the work.
Apply a rule to old mail as well
You apply a newly created rule to the mail already piled up in your inbox with one button. You do not sift through a thousand mails by hand. The new order reaches the old pile as well.
A support inbox turns mail into tickets
Mark an inbox as a support inbox and incoming customer mail becomes a support ticket. Your team's answer goes out from the same address, inside the same exchange. The customer never notices that you moved to a support system.
The right notification to the right person
New mail, a conversation assigned to you and being named in an internal note are notified separately. In the notification centre, email is gathered under its own heading. You can tell where each notification came from.
If the connection breaks, you hear about it
If your password has changed, the provider rejects the first attempt; Workinno pauses the account without waiting and tells you. For passing connection trouble it retries on its own. You do not miss mail in silence.
You choose how long it is kept
You decide how long mail stays in Workinno: ninety days, one year, two years or unlimited. You do not have to clean out expired records by hand. The retention period follows your company policy.
Who can do what
A shared inbox has three roles: read only, write replies, and manage the inbox. Opening a shared account and adding members belongs to administrators. A shared inbox is never left without an owner.

Frequently asked questions
Which email providers can I connect?
You can connect Gmail, Outlook and Microsoft 365, iCloud and any provider that supports IMAP. Outlook and Microsoft 365 are connected by signing in with Microsoft; for Gmail and iCloud you use the app password your provider gives you.
Are my mails copied into Workinno?
The conversation itself appears in Workinno, but attachments are streamed from your provider on the spot rather than copied. You also decide how long the records are kept.
Can our team share the info and support inboxes?
Yes. You add people and teams to a shared inbox; every conversation is assigned to someone, its status is tracked and the team leaves internal notes for each other.
Does incoming mail link to my customer?
If the sender address matches your customer record, the conversation links itself to that person and their company. You see the history on the Mails tab of the customer card.
Can I turn a mail into a task?
Yes. You open a task with one click, or a rule does it for you: mails with a given word in the subject get a task that is assigned to a colleague.
I sent it to the wrong person — can I take it back?
After you press send you have a ten-second undo window. Change your mind within it and the mail never goes out.
How many accounts can I connect?
It depends on your plan; personal and shared inboxes count together. Once you hit the limit no new account is added and you move up a plan.
What happens if my account connection breaks?
Workinno notices the error, retries on its own for a while and, if that does not help, sends you a notification. You do not miss mail in silence.
