Bring your phone calls
into your workspace.
You connect your own PBX; the caller is matched to your customer record and their card opens on screen. When the call ends you mark the outcome, and the call is written into that customer’s history.
Phone module features
From connecting the PBX to marking the outcome of a call, all of it inside Workinno.
Connect your own PBX
You do not change your number. You connect the cloud PBX you already use through a wizard and test the connection before saving it. The line is tried out before the first call that depends on it.
The caller appears on screen
While the phone rings you see who is calling. If the number matches your customer record, their name and company show in the notification and one click opens the card. You see the last call and the outstanding balance while you are still talking.
A number you do not know
If the caller matches no record, a new lead record can be opened. When the call ends, the number is not left ownerless. Following up after the call runs from the record.
Click the number and call
You click the number on the customer card. The PBX rings your extension first and dials the other side once you pick up; you never touch the keypad. The call is written to that customer on its own.
Call history
Incoming, outgoing and internal calls all line up in one list. Each row says who called, how long it took and how it ended. Who was called when is not left to memory.
A customer’s call history
When you open a customer, you see the calls made with them. Before you pick up the phone, what was last discussed is right in front of you. You carry on from where the conversation left off.
Call outcome and note
Once you hang up, you mark what happened: resolved, to be called back, unreachable, wrong number or not interested. If you like, you write your note underneath. Which call needs following up is clear in the list.
Call filters
You narrow the list to incoming, outgoing, missed, today or after hours. Type a number or a name and the list shows only those calls. At the end of the day nobody to call back is skipped.
Staff extensions
Here you set who uses the phone and on which extension. Whichever extension the call landed on, it is written to that person. The owner of the call is clear in the record.
Calls that match no extension
A call that matches no extension still gets an owner. You name one teammate as the default agent, and every unmatched call is written under them. The record keeps a name, so the callback has an owner.
Working hours
You can choose not to accept calls that come in outside working hours. Calls made while you are closed still show in the list and have their own filter. First thing in the morning you return the after-hours calls.
Number format
You pick a default country. Numbers written in different ways are brought to the same shape, so the caller matches the right customer. A number written differently still meets the same customer.
Separate permissions
Connecting the PBX, changing settings, seeing calls and placing calls are separate permissions. Not everyone on the team has to see the history. Call records are open only to the people you allow.

Frequently asked questions
Do I have to change my number?
No. You connect the cloud PBX you already use, and your number and handsets stay as they are. Workinno sits on top of the PBX: it recognises the caller and writes the call into the history.
Do I talk from inside Workinno?
No, the conversation happens on your phone. When you click a number in Workinno, the PBX rings your extension first; once you pick up, it dials the other side.
Are calls recorded?
No. Workinno keeps who called, when, how long it lasted and how it ended; it does not record audio and does not play any back.
How does the calling number match my customer?
Numbers are first brought to a common shape, then compared with your customer records. That is why different spellings of the same number still reach the right person.
What happens if someone with no record calls?
If you turned the setting on, a new lead record is created with their number. If it is off, the call still lands in the list, it just is not tied to a customer.
What happens to calls that come in after hours?
If you choose to work only during working hours, after-hours calls are not accepted. Those calls still show in the list and have their own filter, so in the morning you know who to call back.
Can I set up a voice menu or a call queue?
Those belong to your PBX and you set them up there. The Workinno side is for recognising the caller, tying the call to a customer and recording the outcome.
Is this module in the free plan?
No, it is part of the paid plans. And since your cloud PBX is a separate service, its own pricing applies as well.
See who is calling before you pick up.
Connect your PBX and set your extension. Your number stays the same.
